What is the NCBFAA Annual Conference?

Now in its 44th year, the NCBFAA Annual Conference brings together more than 600 of the international trade industry's top representatives from around the United States. For four days in New Orleans, LA the nation's leading customs brokers, freight forwarders, NVOCCs, OTIs and service providers gather to update themselves on industry developments and to connect with colleagues new and old.

All NCBFAA Members and potential Regular, Affiliate, and Associate Members are strongly encouraged to consider joining us for the industry event of the year, the 2017 NCBFAA Annual Conference, where you will:

Who should attend?

All NCBFAA Regular, Associate, and Affiliate Members are invited to attend, as well as those non-members who are eligible for NCBFAA Regular, Associate, or Affiliate membership. Because importers and exporters (NEI Professional Members) may attend various NEI webinars and participate in G.TEC as well as NEI Case Studies to obtain the required CEUs throughout the year, NEI Professional Members who are ineligible for NCBFAA Regular, Associate or Affiliate Membership may no longer participate in either the NCBFAA Annual Conference or the NCBFAA Government Affairs Conference. What information do I need to register?

If you are an NCBFAA Member and already have an account, you will need your login information to access your individual NCBFAA account and receive member pricing for your registration. If you have forgotten your login information, you may request that it be sent to you here. If you are a member and do not have an account you will need to create an account here. Once you receive your login information, you may continue the process as above. Please keep in mind that the information that is in your NCBFAA account (Name, Company, E-mail, etc.) should be updated before registration, as badges and information for the attendee list are populated from this information. If you are registering your Spouse / Guest, share the program and tours that are a part of their program with them before registering.

How do I register my Spouse / Guest?

You should register your Spouse / Guest when you are registering yourself for attendance. After you enter in your billing information, at the bottom of the screen it will say “Add Guest,” click that button and then enter your Spouse / Guest’s information on the pages that follow. What is the cancellation policy for my registration?

We’ll be sorry that you won’t be able to join us for this exceptional learning and networking experience! However, we understand that things happen, so if you can’t attend, please notify us in writing as soon as possible. Refunds will be processed less a $75 administrative fee. No refunds will be made after March 17, 2017, or for no-shows. Cancellations may be submitted via email to dwilliams@ncbfaa.org or fax to 202-466-0226. Substitutions for this event only, may be made at any time, so if you are unable to attend, but someone else from your organization can be there in your place, please notify us in writing via email at dwilliams@ncbfaa.org .

 

I require a special meal or accommodations, how do I let you know?

If you require a special meal or accommodation, please let us know during registration where it asks if you have a special need. While vegetarian selections are provided at time of conference registration, most other dietary preferences cannot be accommodated. The hotel is unable to provide special meals requested once you've been seated. Should you require a specific meal outside of what is provided, please describe at time of registration. Please note that certain meals may incur additional costs.

 

What should I pack for the Conference?

All NCBFAA events are Business Casual unless designated otherwise. Not everyone agrees on the temperature inside sessions, so be prepared to bring a jacket or sweater to ensure that you are comfortable. New Orleans average temperatures in April reaches a high of 77 during the day and reaches down to around 61 in the evenings.  You can expect rain on an average of seven days of the month. The average monthly rain is around five inches and there are now around eight hours of average daily sunshine.

 

What is the dress code?

Participants are expected to attend the Conference in business casual attire during the day and at most evening functions. With our industry partners and colleagues attending, it is important for each of us to reinforce the Association's professional image (no shorts, tee-shirts, or flip flops, please).

 

What will the weather be during the Conference dates?

New Orleans average temperatures in April reaches a high of 77 during the day and reaches down to around 61 in the evenings.  You can expect rain on an average of seven days of the month. The average monthly rain is around five inches and there are now around eight hours of average daily sunshine.

 

How many CCS/CES credits is Annual Conference Attendance worth?

How can a registered Spouse / Guest participate?

Registered Spouse / Guests are invited to attend all social events. All registered spouse/guests are also encouraged to attend the breakfast on Monday, April 3. Those who have joined NCBFAA for past conferences know that the special friendships made during the spouse/guest events are memorable, as veteran attendee's focus on meeting new attendees and help them enjoy all that New Orleans and the Conference has to offer. There are spouse/guest activities each day and all are encouraged to attend every evening function.

For those taking advantage of this year’s Spa experience at the Annual Conference you should know that the spa facility is not in the Hilton New Orleans Riverside. Instead it is located two blocks away at the Loews New Orleans Hotel, 300 Poydras Street, 8th Floor. The Balance Spa and Fitness at the Loews Hotel has amenities that include an indoor 15 meter salt-water heated lap pool, a whirl pool Jacuzzi, dry sauna and fitness center. Take a moment to visit their website to plan your perfect spa day.

 

Registered Spouse/Guests will receive a $75.00 voucher towards any Treatment at the Balance Spa and Fitness at the Loews Hotel. To receive your voucher, please register with NCBFAA first, and then make a reservation at the spa; the spa recommends that this be done at least two weeks in advance. For reservations, contact Deb Williams at (504) 595.5333 or dwilliams@maackmanagement.com. Upon your arrival at the conference, you will find the $75 voucher in your registration envelope, but only if you are pre-registered for the spa treatment. Thus, it is imperative that you call the spa and make a reservation after registering with us; unfortunately without a reservation, the spa may not be able to accommodate you once you arrive. Please note that any costs exceeding $75 are the responsibility of the registrant spouse/guest. If you plan to cancel your reservation, please do so at least 24 hours in advance by calling the spa to avoid paying a cancelation fee, 24 hour notice is required for package cancelations. "No Shows" will be charged the full price of treatment. Please arrive at the spa at least 30 minutes before your reservation time. You will receive a robe, slippers and a locker during your visit. Swimsuits are required when using the spa facilities. Please make sure to let the spa personnel know of any medical conditions that you may have. Please do not bring valuables or cell phones into the spa. On the day of your appointment you will have complimentary use of the fitness room as well as other amenities.

On Tuesday and Wednesday from 8:30 a.m. to 10 a.m. there will be a reserved table at a local restaurant for spouses and guests to gather.

How far is the Conference Site from the airport?

The Hilton New Orleans Riverside, located at 2 Poydras St, New Orleans, LA 70130, is about a 25 minute drive (about 20 miles) from New Orleans International Airport.

 

Where can I park my vehicle if I am driving?

Overnight self-parking is $35 per night, which is a 50 percent discount for our attendees.
 

How do I get from the Airport to the Hotel?

The Hilton New Orleans Riverside does not offer shuttle service to/from the airport. See available options below. Please note: all pick-up/drop-off services to be scheduled and paid for by the attendee.

 

  • Airport Shuttle provides transportation between the airport and the hotel. Cost is approximately $15/person one way. Transportation can be scheduled via the Concierge Desk on the 1st floor of the hotel. Additionally there is a taxi stand located at the hotel front which stages taxis 24 hours a day. Contact the Concierge Desk at 504-561-0500 extension # 63 for schedules and fees.

All guests should make reservations directly with Hilton New Orleans Riverside Hotel as soon as possible. Although the NCBFAA group rate will remain in effect until Friday, February 24, 2017, the room block on which the rate is based will be exhausted long before that date. The room rate that has been secured for our conference attendees is $225 plus tax per night.
 

Is there a resort fee?

There is no resort fee for stays at the Hilton New Orleans Riverside.

General Conference:

How do I access Conference materials? 

Conference materials are sent out via e-mail at least two weeks prior to the Conference. If you would like hard copies of the program, attendee lists, presentations, or other conference documents, you will need to print and bring them with you to the conference. No hard copies will be available onsite.

 

How can we keep track of Conference events?

Up until the day of the Conference you can go to the NCBFAA website on the program page. Once on site, registrants should refer to the Annual Conference Pocket Program provided at registration, which fits conveniently behind your name badge, and be sure to take it with you wherever you go during the Conference. Any last-minute changes to the program will appear in the AC 17 Daily newsletter.

 

What is the AC 17 Daily?

The AC 17 Daily will contain updated Conference information available each morning and can be found hanging on your door or in front of your door, as well as at the NCBFAA Registration Desk. Budding writers are encouraged to drop off written material on important matters and general information by 4 p.m. each day at the Registration desk.

What are the rules regarding Conference badges?

Badges are required for admission to all Conference sessions and functions, and are to be worn "High and Right" if not on a lanyard. Badges are non-transferable. Individuals needing badges can pick them up at the NCBFAA Registration Desk upon completion of the registration process. NCBFAA encourages participants to leave their badges at the registration desk when departing from the Conference so they can be recycled. 

 

What do the different badge colors indicate?

GREEN - badges indicate fully registered, Regular Members.
ORANGE - badges indicate fully registered, Affiliate Members.
RED - badges indicate fully registered, non-members.

BLUE - badges indicate fully registered, Spouse/Guests.
GOLD - badges indicate fully registered, Associate Members.
Clear - badges indicate a temporary registrant pass.

 

What is the Conference policy on the use of mobile devices?

We understand that pressing business may interrupt you, but please be considerate of your fellow attendees, presenters and special guests. No calls are permitted during Conference sessions. All devices should either be turned off or set to vibrate. In the event of a call, please step OUT of the room. The NCBFAA will provide numerous power strips throughout Conference session rooms for laptop use. We also request that participants not make recordings of the sessions. It is a violation of federal copyright laws to record session presentations in any manner. Thank you in advance for your cooperation and consideration.

 

Will a hospitality area be available during the Conference?

Yes. On Sunday, April 2 , 2017, and Wednesday, April 5, 2017, the Hospitality will be located on the Jean Lafitte Pool Deck from 12-5 p.m. but on Monday and Tuesday,  April 3-4, 2017, it will be located in the NCBFAA Exhibitor MarketPlace from 12-1:30 p.m. and on the Jean Lafitte Pool Deck from 1:30 – 5 p.m. 

 

How can we best support our generous sponsors?

The funding supplied by our Conference sponsors contributes greatly to making it possible for the Association to provide attendees with the Conference experience they have come to expect over the years. In light of this welcome support, we encourage our attendees to not only visit each of the Exhibitors in the Marketplace, but also thank all of our gracious sponsors who can be easily identified by their Sponsor ribbons.

 

Will there be an NCBFAA Exhibitor MarketPlace this year?

Exhibitor booths will be featured this year with products and/or services geared to the Broker/Forwarder/NVOCC industry. We once again remind and encourage everyone to be sure to take time to visit the diverse exhibits Monday and Tuesday during coffee breaks and lunch. Individual booth raffles will be given out on Tuesday, April 4 at 3 p.m.!

 

What are the breakfast arrangements?

All fully paid registrants are invited to breakfast, Monday through Wednesday, April 3-5. All registrants, including spouses and guests, are invited to the Breakfast on Monday, April 2, in St. Charles. Everyone will receive coupons for Tuesday and Wednesday for the breakfast buffet in the Le Croissant. Please note that the daily coupons received in your registration packet are only redeemable for each day as indicated. Special registration rates may not include breakfast. Check with NCBFAA for details.

 

Will panels have a chance to meet before their presentations?

All moderators are requested to contact their speakers and panelists to finalize their presentations for that day. The NCBFAA Team will be happy to assist in coordinating conference calls between you and your panelists prior to arriving on site. Once on site, Kim O'Beirne (pronounced O’Burn) with the NCBFAA Meetings Department will coordinate moderator reservations at Le Croissant. restaurant on the morning of the presentation.

 

How does the Conference use event photographs?

From time to time NCBFAA uses photographs taken at conferences and events in its promotional materials and on its website. Unless this permission is revoked in writing to the NCBFAA, by virtue of their attendance all conference visitors agree to the use of their likeness in such materials.

What is the “Stewart B. Hauser First Timer’s” Reception?

Each First Time Attendee will receive a call to explain what to expect at the Conference, and it will include a description of the Invitation Only Event, where they are a special guest of the Officers, Board of Directors and Affiliated Association Presidents, who want to officially welcome them to their first NCBFAA Conference.

 

When is the "Stewart B. Hauser First Timer’s” Reception?

Sunday, April 2, in St. James from 6 to 7 p.m. Displaying their "Stewart B. Hauser First Timer" ribbon has historically proven to be a great way to meet new colleagues, which often sets the momentum for new participants.

 

Is there an official opening event?

Following the 6–7 p.m. invitation-only “Stewart B. Hauser First Timer’s Reception” in St. James, attendees will have the opportunity to convene in the foyer and join in a Second Line Parade to the 7 p.m. Exhibit Hall Grand Opening Ribbon Cutting celebration, officially opening the Annual Conference. Until 8 p.m., participants are invited to enjoy refreshments while they visit the Exhibit Booths. At 8 p.m., the group may participate in another Second Line Parade to St. Charles for an 8 to 9:30 p.m. Welcoming Reception.

 

Is there an official closing event? 

Yes, on Wednesday, April 5 from 6:30 to 8 p.m. in St. James. The event will officially close the Conference for final goodbyes to all your friends and colleagues, until next year at NCBFAA's 45th Annual Conference to be held at the Westin Mission Hills Resort & Spa Rancho Mirage in Rancho Mirage, CA, April 29 - May 2, 2018.

Where is the annual golf tournament going to be held?

This year’s Golf Outing takes place at Lakewood Golf Club. The tournament begins at 8:30 a.m. on Sunday, April 2. Price (not included in registration): $125.00

 

 

 

How can I rent golfing equipment?

The golf club rental price is $45 per set, per person, payable on site.  Golf shoes can be rented for $15 per pair but are not required because golfers can wear any type of athletic shoes on the course (no dress shoes or metal spikes, however). If you plan on playing in the NCBFAA Tournament on Sunday, April 2 and need to rent your clubs, contact Bruce Goodwin by clicking here.

 

Where do buses depart for our golf tournament and tours?

Golf: The buses will depart from the side drive of the hotel. The first bus leaves at 7:30 a.m.; the second and FINAL bus leaves at 7:45 a.m.  The buses will depart the golf course at 2:30 p.m. and 3 p.m.

When can I move into my booth?

Exhibitor set-up will be on Sunday, April 2 starting at 10 a.m. Exhibits must be finished by 5 p.m. Sunday night, without exception.

 

How many people can work in the booth?

There is no limit to the number of booth workers; however, there is a maximum of 2 Exhibit Booth Registrants; all other booth workers must complete the regular Attendee Registration. One registration is included in the exhibit fee along with the option to pay for one additional worker at a reduced rate. All other workers need to register as an attendee via the website at full registration price. If two booths are purchased, then two registrations will be included as well as the option to add one additional worker at the reduced rate. All registrations will include conference materials and typical registration access to meals, social functions and sessions. Spouse / Guests have their own program and are not to work inside of the booth. If you have a Spouse / Guest that you would like to work in the booth, they will need to either be registered as an exhibitor assistant or a regular attendee. No exceptions.

 

What else is included in my exhibit fee?

Will Internet be available in the Exhibitor Marketplace?

Yes, pricing is in the Exhibitor Kit.  

 

Where do we ship our materials and how do we order items for the booth?

Once your exhibitor registration has been processed, we will provide your contact information to the company in charge of the exhibit space, Classic Exposition Services, Inc. They will provide an exhibit kit to you that will detail shipping information, how to order electric, display material, etc. Please be sure to take notice of the cut-off dates for shipping.  

 

Can we have guests visit the booth?

All attendees on the floor must be registered either as an attendee, exhibitor or paid guest. If you wish to have someone come visit the booth, they will need to see the NCBFAA Registration Desk to get registered or be registered ahead of time. 

 

When is the NCBFAA Exhibitor MarketPlace open?

NCBFAA Exhibitor MarketPlace will open Sunday, April 2, from 7-9:30 p.m.; Monday, April 3, from 9 a.m. - 5 p.m.; and  Tuesday, April 4, from 9 a.m. – 3:30 p.m.  All exhibits must be dismantled by 5 p.m. on Tuesday.

 

Do I need to remove my materials Sunday night?

During hours that the NCBFAA Exhibitor MarketPlace is closed, NCBFAA will provide security. No one will be allowed in the hall when the NCBFAA Exhibitor MarketPlace is closed, including exhibitors. We will allow exhibitors access to the hall one hour prior to each opening on Monday and Tuesday. We recommend, though, that electronics such as laptops and other expensive items be monitored or placed out of site when you are not at your booth.

 

Is the NCBFAA Exhibitor MarketPlace open during sessions?

Yes, the hall will be open all day. We ask that there always be someone in the booth, but if you need to step away, again, please place any valuables out of sight or have your neighbor keep an eye on things.

 

Is there an Exhibitor Lounge area?

Yes. The NCBFAA will once again provide a closed off area in the Hall, where you can find a moment alone, as well as coffee, tea and water. This area is not to be used for meetings.

 

What is the schedule of other functions in the NCBFAA Exhibitor MarketPlace?

On Sunday, April 2, Conference attendees will convene in the foyer to join in a Second Line Parade to the 7 p.m. Exhibit Hall Grand Opening Ribbon Cutting celebration, officially opening the 2017 NCBFAA Annual Conference. Participants are invited to enjoy refreshments while they visit the Exhibit Booths until 8 p.m. Additionally, check the Program for specific times, but there are two breaks and a Luncheon, complete with a Libation Station, each day.  And don’t forget to leave your card at the Booths you visit, as many participate in the annual NCBFAA Exhibitor MarketPlace Raffle which is held from 3 – 3:30 p.m. (sharp!) on Tuesday. 

 

Are raffles allowed in the booths?

Yes! Feel free to collect business cards and hold a raffle. At the last break on Tuesday, April 4, we will have a microphone available to announce your winner(s). We will begin the raffle announcements about 20 minutes prior to the NCBFAA Exhibitor MarketPlace closure to ensure attendees have time to make it to the next scheduled session.  Please pull the winners prior to stepping up to the microphone to help speed things along (we suggest picking three winners in case the first selecteded winner is not present). 

 

As an exhibitor is it possible to golf in the Sunday Tournament?

If you plan to golf, which we encourage you to register for, just keep in mind you will still be required to have your booth set up at by 5 p.m. on Sunday evening. So plan accordingly to ensure you will have enough time to get your booth set up when you return from the Tournament.

 

When does the NCBFAA Exhibitor MarketPlace close?

The Exhibitor MarketPlace will close on Tuesday, April 4 at 3:30 p.m. There is absolutely no dismantling of booths prior to 3:30 p.m. as this is not only a breach of the contract, but very disruptive to the Exhibitor MarketPlace and booths around you. Teardown must be completed by 5 p.m.

 

Will there be an annual NCBFAA Exhibitor MarketPlace meeting again this year?

Definitely! There will be an exhibitor meeting from 2:30 to 3 p.m. on Tuesday, April 4, in the Hall, to discuss the 2017 and 2018 exhibits.
